Job Vacancy: Fleet AdministratorLocation: Office/Yard Based W M Donald, Marrlaine, Netherley, AB39 3QP Employment Type: Full-Time Reporting to: Fleet Manager About Us W M Donald Ltd is seeking a dedicated Fleet Administrator to join our team. In this role, you will be responsible for managing an efficient and cost-effective vehicle department while ensuring that company vehicles and hired plant equipment comply with legislation and client specifications. Your role will be crucial in maintaining safety standards and operational efficiency. Key ResponsibilitiesFleet Management Support
- Monitor and manage company and hired vehicles, small plant, and specialized equipment using NAV, Master Naught, and Reflow.
- Maintain accurate record-keeping and ensure fleet assets remain serviceable and compliant.
- Assist in procurement and disposal of HGVs, LGVs, and road-going trailers.
- Schedule and track MOTs, inspections, maintenance, and servicing.
- Manage the installation and maintenance of camera and tracker systems.
- Support preventative and planned maintenance activities.
Driver & Performance Management Support
- Maintain and update driver compliance and vehicle condition records.
- Monitor driver performance and escalate issues as necessary.
- Assist in documenting and reporting road traffic accidents (RTAs) and vehicle damage.
Administrative & Team Collaboration
- Provide administrative support to the Fleet Manager.
- Prepare reports and process fleet-related documentation.
- Coordinate with Contract Managers and other personnel to manage fleet availability.
Legal & Compliance Assistance
- Ensure compliance with transport legislation, driver hours, and tachograph collection.
- Support the maintenance and updating of Health & Safety policies related to vehicles.
Operational Efficiency
- Assist in planning vehicle assignments to optimize fleet utilization.
- Maintain systems that support economical company operations.
EssentialQualifications & Experience
- Proficiency in Microsoft Office
- Strong written and verbal communication skills
- Minimum of 5 years of experience in a similar role
- Strong problem-solving skills and results-oriented approach
- Ability to work independently and meet deadlines
Desirable
- Formal qualification in computer software
- Familiarity with ISO 9001, ISO 14001 & ISO 45001 standards
- General IT literacy
- CSCS Card
